JOB PURPOSE:
The partnership between BUV and its students is a life-long one, hence the connection exists well after graduation. The Alumni Relations Officer will manage the relationship between the institution and the graduates once they finish their degrees at BUV. The position will communicate with the alumni community through newsletters, events, web pages and other resources.
The role of the Alumni Relations Officer is mainly about communications, engagement, and career development support. The role is set up to keep alumni connected to each other as a strong community and the university, facilitate and promote the professional development of alumni via mentoring programme, employment and career consultancy, further studies support, and to keep the alumni community aware of the university's developments and needs. The duties will involve working on events, and activities both at the university and off-campus. The role is subject to change depending on the needs of the University
AREAS OF RESPONSIBILITIES
1. Alumni Engagement, Alumni Professional Development Support
- Main contact point for alumni's request
• Act as the main point of contact for alumni when they contact BUV regarding the problems of professional development (i.e., employment opportunities, career consultation, etc.); further studies support (i.e., reference letter, any supporting documents issued by BUV, etc.); connections with BUV lecturers, staff or partners; and so on
• Act as the main point of contact for any related stakeholders when it comes to alumni-related requests.
• Follow up with the related internal & external stakeholders to ensure the request is completed timely.
- Community development: Communication, Activities & Offers
• Plan, coordinate, and attend reunions, alumni dinners, and networking events for the community to support their professional networks.
• Develop and manage different communication channels with the alumni community as well as the channels to connect alumni with students and industry partners in order to keep all BUV alumni community updated with all new updates, such as newsletters, social media, web pages, and other resources
• Develop and strengthen alumni chapters with a focus on establishing and maintaining connections through different communication channels.
• Develop and execute programme to connect different generations of alumni, encourage and facilitate involvement of alumni in supporting existing students where appropriate and applicable (via home-coming events, mentor-mentee programmes, senior support scheme, alumni stories sharing...etc)
• Develop and implement benefits packages for BUV alumni. The benefits are including but are not limited to leisure activities, professional membership, educational & professional programmes, and so on.

Customer service:
• Ensure accurate and timely updates of information related to alumni via multiple channels for related stakeholders
• Ensure high-quality
customer services & timely responses to a variety of written and spoken requests from alumni and relevant stakeholders, ie. faculty, staff, parents, partners, etc. via telephone, correspondence and/or electronic mail
• Constantly improve customer services and innovate different forms of alumni engagement and support to maintain a high level of satisfaction from alumni.
2. Database Management
- Take the ownership of the up-to-date alumni database, including the student information, contact information, employment status and education status.
• Proactively keep the database updated on a real-time basis whenever any update is available on different communication channels.
• Update the alumni database on a bi-annual basis by phone calls, alumni surveys, and so on.
• Provide facts and figures related to the alumni database when requested by managers.
- Assist the department in preparing periodic reports and newsletter updates for Management and the University.
3. Administration and others
- Record & Filling system: Maintain and update the record and filing system of each project, activity, and alumni profile (supporting documents, emails, and any other correspondences).
- Administration work related to paperwork, contracts, payments, etc. related to Alumni Relations work which complies with BUV's policies and procedures.
- Assist the Academic Support - Student Experience Department in other areas when the need arises and undertake any other duties that may be assigned from time to time
